1. About Oari Events Co
Oari Events Co is an event planning and coordination company based in South Africa. These Terms & Conditions govern all services provided by Oari Events Co to clients, including event planning, décor, catering coordination, entertainment booking, and related services.
2. Enquiries & Quotes
Submitting a booking enquiry does not constitute a confirmed booking. All enquiries are subject to availability and will be followed up with a formal quote within 2–3 business days. Quoted prices are valid for 7 days from the date of issue and may change thereafter due to supplier pricing or availability.
Prices shown during the booking process are estimates only. Your final quote will be confirmed in writing after a consultation.
3. Deposit & Payment
- A 50% non-refundable deposit is required to secure your event date. No date is held until a deposit is received.
- The remaining balance is due 7 days before your event date unless otherwise agreed in writing.
- Payment may be made via EFT. Banking details will be provided in your formal quote.
- Oari Events Co reserves the right to cancel an unconfirmed booking if payment is not received within the agreed timeframe.
4. Cancellations & Refunds
- The deposit is non-refundable under all circumstances.
- Cancellations made more than 30 days before the event will forfeit the deposit only.
- Cancellations made within 14–30 days of the event date will be charged 75% of the total quoted amount.
- Cancellations made within 14 days of the event date will be charged 100% of the total quoted amount.
- Postponements are subject to availability and may incur a rescheduling fee.
5. Transport & Travel
Transport and travel costs are not included in any quoted prices unless explicitly stated. These costs will be confirmed separately based on the event location and distance from our base of operations.
6. Venue & Third-Party Suppliers
Where Oari Events Co coordinates third-party suppliers (catering, photography, entertainment, etc.), we act as an intermediary only. We are not liable for the performance, quality, or conduct of independent suppliers. All supplier contracts remain between the client and the supplier.
It is the client's responsibility to ensure that their chosen venue permits the installation of décor, equipment, and any other items planned as part of the event.
7. Client Responsibilities
- The client must provide accurate event information including guest count, venue details, and any special requirements.
- Any changes to the event brief after confirmation may result in additional charges.
- The client is responsible for the behaviour of their guests and any damage caused to venues or equipment.
- Oari Events Co is not responsible for loss, theft, or damage of personal property at the event.
8. Force Majeure
Oari Events Co will not be held liable for failure to perform its obligations due to circumstances beyond our reasonable control, including but not limited to natural disasters, government restrictions, load shedding, supplier failures, or acts of God. In such cases, we will work with the client to reschedule or offer an alternative arrangement where possible.
9. Photography & Marketing
Unless the client expressly requests otherwise in writing, Oari Events Co reserves the right to photograph events for use in our portfolio, social media, and marketing materials. No personal identifying information will be shared without consent.
10. Limitation of Liability
Oari Events Co's total liability to the client shall not exceed the total amount paid by the client for the specific event. We are not liable for any indirect, consequential, or special damages arising from the provision of our services.
11. Governing Law
These Terms & Conditions are governed by the laws of the Republic of South Africa. Any disputes will be subject to the exclusive jurisdiction of the South African courts.
12. Amendments
Oari Events Co reserves the right to update these Terms & Conditions at any time. The version in effect at the time of your booking confirmation shall apply to your event.
